Vehicle export paperwork has two sides: documents required to export and ship the car from China, and documents required to clear and register it at the destination. They overlap, but they are not identical. The buyer, exporter, freight provider and destination customs agent should agree the required set before shipment.

Documents commonly used in a vehicle shipment

  • Commercial invoice identifying the contracting parties, vehicle and agreed value
  • Packing list or vehicle list showing quantity and identifying information
  • Bill of lading issued for the ocean shipment
  • China export declaration and supporting customs records handled by the exporter or agent
  • Certificate of origin when required or requested
  • Vehicle title, registration, cancellation or export-eligibility records where applicable
  • Inspection, conformity or destination-specific certificates when the importing country requires them

This is a working checklist, not a universal legal list. Requirements can change by country, vehicle age, powertrain, intended use and import programme. The destination customs broker or competent authority should confirm the current rules.

The details that must match

  • VIN or chassis number
  • Make, model and vehicle description
  • Buyer, seller and consignee names
  • Quantity, shipping marks and container or booking references
  • Powertrain and other information required by the carrier or destination
  • Dates and document numbers used across the shipment file

Small inconsistencies can create large delays. A spelling difference in the consignee name, an incorrect VIN character or a model description that does not match the destination declaration should be corrected before documents are finalised.

What to confirm before making the final payment

  • The legal seller named on the contract and invoice
  • The bank beneficiary and payment instructions belong to the agreed contracting party
  • The exact vehicle and VIN are eligible for export
  • The destination will accept the vehicle's age, steering position, emissions or electric specification
  • Who is responsible for freight, insurance, destination charges and customs clearance
  • When original or electronic shipping documents will be released

Build the document plan around the destination

The most reliable sequence is to confirm destination requirements first, then prepare the China export and shipping file around them. Do not assume that a document set used for one country will automatically work for another, even when the vehicle model is the same.
